Extension Agent Hain called the Leader’s Meeting to order at 7pm.   There were no additions to the agenda.

Leaders Joramo, Jutila, Bjorlie and Estvold were present along with Extension staff Hain, Blasey and Berdal.  Leader Galde was absent.

Bill Hodous, Ramsey County Extension Office, spoke about a new training that they require all 4Her’s and at least one parent to attend if they are wanting to show any exhibits at the Fair.  The training focuses on being good sports and how to act in regards to judges and fellow members.  He offered that his office would be willing to come and do the training for us if we wanted.

Minutes from the last minutes were not presented for approval.  Leader Bjorlie will send them out and have them at the next meeting for approval.

A motion by Leader Jutila, seconded by Leader Joramo to approve the treasurer report submitted by K. Blasey.  The motion carried.

The Fair Schedule was gone through, nothing was finalized but a deadline of two more days was given to get any other information to Agent Hain.  Schedules would be printed later this coming week for distribution.  Some adjustments/changes that were talked about included:  add wording about horse riding fee, add entries behind the open class categories, reword dance lessons to reduce confusion, add Quilt Essential as sponsor for ribbons and prizes in quilt show.  Finalize Tattered Attic and Game & Fish.

Fair Entry: Extension staff Blasey and Agent Hain talked about the new entry program for the Nelson County Fair.  It was stressed to show patience as it is new for everyone in the state.  At this time entries need to be entered on the computer as well as on the paper forms.  Staff Blasey suggested filling out your written forms first and using it to complete the entry on the computer.   All animals’ entries must also fill out the additional forms by 5/17/19.

Nelson County Fair Guidelines/Supplement was discussed and some basic formatting items were talked about.  Along with the change from Lot to Group on page 5, number 6 to follow the State Fair categories.  Also changed was on pg 6, number 3 From: All beef, dairy, goats, sheep, hogs, poultry, rabbit and horses will be sold for cash premiums only.  No livestock is sold at the premium sale. To:  All entries will be sold for cash premiums only.  No entries are sold at the premium sale.  Leader Joramo offered to check out livestock exhibits to ensure that participants clean up after themselves.  Agent Hain will also assign the cages, pens and panels as livestock registration comes in.  Agent Hodous recommended calling the State Fair to see about getting some cages and pens from them.  He also mentioned that it may be a possibility to borrow some from Ramsey County.

A motion by Leader Estvold, seconded by Leader Jutila to change on page 1, paragraph 3 From: Late entries may have premium funds withheld. To: Late entries are not eligible for the premium auction.  The motion carried.

A motion by Leader Jutila, seconded by Leader Joramo to change on page 5, number 2 From: Entry day for livestock is Friday morning after 8 am.  To:  Entry day for livestock is Friday morning by 8 am, animals arriving late will not be eligible for judging.  The motion carried.

A motion by Leader Jutila, seconded by Leader Joramo to add:  Any exhibit removed before the end of the premium auction will forfeit all ribbons and prize money.  The motion carried.

Raffle Ticket deadline was set for July 8, 2019 to have all funds to the Extension Office.

Proxy Bidding: Last meeting some leaders felt that the county was not being represented appropriately by our proxy bidders.  It was discussed and left that any leader could add additional proxy bidders. Any additional proxy bidders’ contact information was to be sent to Leader Estvold by 5/1/19.  Leader Estvold said that no one had sent her additional proxy bidder information so we are going with the four that had already been procured.  

Banner: A motion by Leader Joramo, seconded by Leader Estvold to purchase banner #1 from Sherry Hillard.  The motion carried.

Absentee forms will be available on website.

Camp/EYC Scholarships: A motion by Leader Jutila, seconded by Leader Estvold to approve three $100.00 scholarships for the 2020 camp year with application to be chosen during a Leaders meeting.  The motion carried.

Set next meeting date:  June 13th 7pm at Extension Office

A motion by Leader Joramo, seconded by Leader Estvold adjourn the meeting.  The motion carried.
