North Dakota NEAFCS Unofficial Meeting Minutes

The meeting was called to order by President Cindy Klapperich on April 16, 2021 at 10:01p.m. via Zoom.

Attending: Cindy Klapperich, Erin Berentson, Kendra Metcalfe, Julie Garden Robinson, Molly Soeby, Amber Stockeland, Becca Yarger, Christina Rittenbach, Courtney Hoikkala, Donna Anderson, Ellen Bjelland, Gabriele Nelson, Jeanne Erickson, Kari Helgoe, Katie Henry, Katie Thompson, Kimberly Jones, Ronda Gripentrog, Shaundra Ziemann-Bolinske, Susan Milender, Holly Arnold, Sara Laite

G. Nelson read the NEAFCS Creed.

Secretary Report: S. Laite had reminded members to read the minutes of our last meeting online prior to the meeting. Motion to approve by E. Bjelland, seconded by M. Soeby. Motion carried.

Treasurer Report: D. Anderson presented treasurer’s report. Checking account balance is $3,723.12. Our donation of $250 to the ND 4-H Foundation for Giving Hearts Day was matched. The 4-H Foundation account balance as of January 31, 2019 is $11,468.53. Motion to approve by K. Metcalfe, seconded by K. Thompson. Motion carried.


Committee Reports

Awards/Recognition: C. Rittenbach reported there were three National Award submissions from J.Garden Robinson. Start thinking about what awards you can apply for. Awards manual and other information is on google drive. Ask C. Rittenbach if you have questions.

Member Resources: K. Metcalfe reported the candidates for open NDEAFCS positions. President Elect: K. Helgoe and Treasurer: A. Stockeland. She reminded members to refer to a past email she sent to membership regarding member resources and to utilize the google drive for NDEAFCS information. The current NDEAFCS Officers and Representatives can be found at: https://www.ag.ndsu.edu/ndeafcs/officers-and-committees .

Public Affairs: E. Berentson reported that March was ‘Living Well Month’ and’ National Nutrition Month’. She thanked members for promotion in March. J. Erickson and M. Soeby will discuss PILD later during meeting. Be thinking of nominations for the ‘Friend of NDEAFCS’ awarded at the Fall NDSU Extension Conference in October.

Professional Development: C. Hoikkala encouraged members to submit Professional Development Webinar Proposals to NEAFCS. There are 100 concurrent proposals for this year’s NEAFCS Conference. Refer to google drive for more professional development information.

FCW Promotion: Position is vacant; no report.  

State Fair Representative: E. Bjelland reported the Annual Meeting was in March. There are a lot more scholarships being developed by the ND Fair Foundation. The ND State Fair will go on.

4-H Foundation Representative: D. Lee was unable to attend the meeting; no report.


Other Reports

National perspective: J. Garden Robinson reported there were 632 award applications submitted. 473 went on to Regional and National judging. Results will be out by early May. Encouraged ND members to submit applications. State affiliates donate an item to the silent auction. They will not allow alcohol. R. Ussatis was not in attendance but sent a report. She is serving on the National nomination committee and pleased to announce V. Hoines is running for VP of Public Affairs. J. Garden Robinson is running for President Elect. V. Hoines was not in attendance; she is the current Central Region Director. C. Klapperich had a president’s call. Highlights will be submitted onto google drive.


J. Erickson and M. Soeby attended the virtual PILD 2021 Conference (April 12-13) and gave reports. J. Erickson and M. Soeby both attended for the first time. J. Erickson received a scholarship to attend. They reported highlights from the conference. M. Soeby mentioned a very helpful document, “Improving the relationship between Cooperative Extension and Local Elected Officials”. Members can contact attendees for more information. H. Arnold, J. Garden Robinson and V. Hoines attended the virtual Extension Leadership Conference 2021. H. Arnold reported highlights of the conference. J. Garden Robinson gave a recap and mentioned she presented on the Regional Food Safety Group she belongs to. Members can contact attendees for more information. Full reports will be posted on our google drive.


E. Berentson presented accomplishments of our affiliate. NDEAFCS has been mentioned in seven impact reports. Links to the impact reports can be found on our google drive.


NEAFCS Webinars were discussed. J. Garden Robinson presented the NDSU Extension Coffee Presentation. J. Erickson mentioned the “Parenting in a Pandemic” webinar series presented by Erin Walsh of the Spark & Stitch Institute. There are two left; April 28 and May 26. E. Bjelland has found the Illinois Spring Science Webinars to be very in depth and interesting. Members can go back and watch them on their website.


Administrative Update

G. Lardy discussed legislative activity and testimony of stakeholders at sessions. NDSU is in the final stages of strategic planning. L. Flage urged members to think about our needs and what our partners can do to advocate for us. She discussed the many grant opportunities related to Health/Positive Health Outcomes. The post-covid task force has been meeting; ELT will go over that report. L. Flage will start a regular zoom on 3rd Thursday of each month at 3:00pm called Extension Connection. This will serve as an update, offer a two-way conversation, provide shout outs/kudos, and answer questions. Will get calendar invitation. Questions were answered from the members.

New Business

K. Metcalfe, Nominating Committee, lead the Election of NDEAFCS President-elect and Treasurer

President Elect: K. Helgoe. E. Bjelland moved to cast unanimous ballet for K. Helgoe as President Elect. Seconded by M. Soeby. Motion carried. K. Helgoe, FCW in Pembina County, addressed the membership. Treasurer: A. Stockeland. E. Bjelland moved to cast unanimous ballet for A. Stockeland as Treasurer. Seconded by R. Gripentrog. Motion carried. A. Stockeland addressed the membership.


R. Gripentrog thanked D. Anderson for her years of service as Treasurer. D. Anderson addressed the members. She has served as Treasurer since 2015. The account will need to transfer to a bank where A. Stockeland lives.


Three door prizes were given away to members.


E. Bjelland, C. Hoikkala, and K. Henry volunteered to work on putting together an auction item from the ND Affiliate for the National Conference.           


K. Helgoe will take the lead on the Fall Conference Auction Committee and has reached out to Ag Association. NDEAFCS will receive 55% of the proceeds. K. Thompson, K. Metcalfe, S. Laite, and K. Henry volunteered to join this committee.


Friend of NDEAFCS Selection Committee will consist of D. Anderson and those interested in joining the committee. Members can add nominations to the document found in the google drive.


M. Hvidsten, NDSU Extension Rural Leadership Specialist, addressed the group regarding Strategic Planning for NDEAFCS. She is facilitating and guiding the process utilizing the 4 “D” Appreciative Inquiry (AI) planning process which began with a committee meeting on March 5th. In attendance at that meeting were M. Hvidsten, K. Helgoe, S. Laite, E. Bjelland, C. Hoikala, and C. Klapperich. Members have since been given the opportunity to respond to Discover and Dream questions. Between now and May 4, go through the Discover and Dream compiled data M. Hvidsten emailed on April 15. Prioritization phase will be next. Members are asked to participate on May 4th at 10:00am using the Zoom link M. Hvidsten will send out. If you can’t attend, members are encouraged to write comments on Qualtrics Survey to be sent out at a later date.


Members need to announce if there are any retirements in our association.         


C. Hoikkala and K. Thompson volunteered to plan a summer/fall activity or retreat for the group. C. Klapperich will look into funding that may be available for this.      



The NEAFCS Annual Conference will be November 2-5, 2021 in Grand Rapids, Michigan. Six NDEAFCS members so far plan to attend.
