Morton County 4H Council Meeting Minutes

Date: 9/15/2020 @ 7 pm via Zoom

Attendance: Karla, Wendy, Becky, Renae, Kelly, Kari, Tracy, Delmar, Jim, Wayne, Dorothy, Peggy

Meeting called to order: Wendy

Treasurer’s Report: $21,088.14-includes raffle sales

Secretary’s Report: None available

Old Business:

* Rabbit & Poultry: Was held Thursday.  5 Poultry Exhibitors (Down from past shows). 36 Rabbit (Also down from previous) Timing & Tent was a big hit so hoping to do the same for 2021.

* Livestock: 60 4H’ers participated.  Good feedback about the show & facebook live.  Show went longer that anticipated.

* Round Robin: Went well

* Premium Sale: 93 participants.  Good feedback regarding buyer numbers.

* General Achievement Days: Went fairly well.  Some disappointment there were no face to face interviews.

* Raffle Tickets: 3,000 tickets printed.  Sold a little over 1,400.  Will only print 2,000 next year. Raffle was done in place of concessions that was not done due to Covid restrictions. Concession typically brings in over $10,000 in profit.  Raffle brought in $6,000.  $2,866 will be paid to clubs.  Clubs earned $2 per ticket sold.  Will be paid after 10/1 when raffle ends.

New Business:

* 2021 Achievement Days:

            * Potential to keep Facebook Live of shows.  Do NOT need FB to view.

            * Livestock check-in prior to shows.  Possibilities are during exhibit drop-off & interview judging.

            * Rabbits-Class 4 & 6 will continue.  2020 was first year used.  Will be required to choose class when entering            exhibit.

            * Bidder numbers will continue in 2021.

            * Need better way to get kids to register and participate in premium sale.  Horse had highest drop rate for multiple reasons.

            * Market animal weigh-ins-Potential for that happening on Thursday only.

            * Potential volunteer list- Implemented for horse events this year.  Will be doing it for all events in 2021.

            * Possible Rodeo on Thursday night per Fair Board so will need to be out of arena by 4 pm on Thursday.  May need to move horse achievement day english events to Wednesday with speed events.  General achievement days possible move to Wednesday to accommodate rodeo.

            * Concession Stand-None in 2020.  Profit of only $10,000 out of $25,000 earned.

                -Need ideas on how to move forward with concessions.  Possibilities include: Provide breakfast & close at 11 am for food.  Drinks will continue throughout day.  Provide a smaller menu.  Provide snack only concessions. Etc.

* 4H Week: October 4-10.

* Recognition Night: October 16th via Zoom.  Awards will be delivered in person & recorded & shared via website & social media.  No Club of Excellence due to current situation and all clubs deserve the award this year.

* Friends of 4H & 4H Alumni Awards: Nominees: Nathan Boehm, Matt Lachenmeier, Carolyn Schaff.

            * 4H Alumni award winner:  Nathan Boehm

            * Friends of 4H award winner: Carolyn Schaff

* Award of Excellence Committee: Jim, Wendy & Becky.

* 4H Online 2.0: 88 members enrolled.

* Club & Project Material:  Available at extension office for pick-up.

* Election of Officers: Will be voted on during October meeting held towards end of month.

* In Person Club Meetings:  Need to complete form & get approval to hold meetings. Will need to provide a list of people in attendance to Karla after every in-person meeting.
