10 Steps to Better Voice Mail

It's time to stop thinking of voice mail as merely a necessary evil. Use it to your advantage! Treat voice mail as your electronic business card. After all, a customer's image of your business is the sum of every encounter they've ever had with it, including your voice mails.

Here are 10 steps to improve how you use voice mail:

  1. Prepare.
  2. Include the essentials.
  3. Provide an escape hatch.
  4. Don't be patronizing.
  5. Add energy.
  6. Use positive language.
  7. Keep it fresh.
  8. Time-stamp it.
  9. Say it twice.
  10. Smile!
